How to collect emails from Instagram followers and commenters

The highest-intent way is inside the DM: someone comments a keyword, the DM asks for their email, they reply with it, and the link follows. ReplyRep's Email Collector (Lite and up) does this, then exports addresses as CSV or syncs them to Klaviyo, Mailchimp, HubSpot or Google Sheets. Tell people what they are signing up for, and honor unsubscribes.

The DM method wins on intent. The person has just asked for something, they are already typing, and the email is the one thing between them and it. This guide covers that method. For why an email list matters at all, see email list growth.

How does email capture in Instagram DMs work under Meta's rules?

The flow fits Meta's messaging rules neatly. A comment earns one private reply, so the first DM asks for the email instead of sending the link. When the person replies with their address, that reply is a message from them, which opens Meta's standard 24-hour window. The link can then go out in a second message, inside that window.

Meta's Developer Policies also require "legally sufficient consent" before you message people, and say to "immediately respect" requests to stop. On Instagram, the person messaged you first. For email, the consent is yours to collect: say clearly in the DM what they will receive, and include an unsubscribe link in every email you send.

Keep the bio form as well. The DM catches people at the moment of interest, and the bio form catches the profile visitors who never comment. Between them, nobody who wants to subscribe has to work out how. What changes is where you put your effort: the posts that drive the DM ask are where most new addresses will come from, so give your best freebie to those.

What do you need before you start?

  • An Instagram professional account connected to a tool on the official API.
  • A ReplyRep plan with the Email Collector: Lite and up, from $10 a month.
  • Somewhere for the emails to go: Klaviyo, Mailchimp, HubSpot, Google Sheets, or a CSV export.
  • A welcome email ready in your email tool, so the first thing subscribers get is what they asked for.
  • An offer worth an email: a guide, a discount code, a waitlist spot.

How do you collect emails with ReplyRep?

  1. 1

    Set up the keyword DM

Choose the post, add a keyword, and write the DM. See how to set up comment to DM if this is your first.

  2. 2

    Switch on the Email Collector

The DM now asks for an email before the link goes out. Write the ask in your own words.

  3. 3

Say what they are signing up for

"I'll send it here and add you to my Sunday email. Unsubscribe any time." One honest line avoids complaints later.

  4. 4

    Connect your email tool

Sync to Klaviyo, Mailchimp, HubSpot or Google Sheets, or export a CSV whenever you need it.

  5. 5

Send the link in the DM too

Deliver the freebie in the DM as soon as they reply, so nobody misses out because of an email typo.

  6. 6

    Test with a real address

Comment from a second account, reply with your own email, and check the DM link and the welcome email both arrive.

The same principles apply in any tool: ask once, explain why, deliver in the DM regardless, and get the addresses into your email tool the same day.

How do you word an email ask people actually answer?

The ask works when it is short, honest about what follows, and clearly the last step before the thing they want. Three versions to adapt:

  • Straight swap: "Happy to send it. What's your email? I'll send it there and add you to my weekly tips (unsubscribe any time)."
  • Bonus for the email: "Here's the guide. Want the two worksheets that go with it? Reply with your email and I'll send them."
  • Waitlist: "Spots open Monday. Reply with your email and you'll hear first, before I post about it."

Avoid asking for anything else in the same message. Name, phone and email at once looks like a form, and forms are what the DM was supposed to replace.

Worked example: a sourdough starter guide

A baker posts a reel on feeding a starter and offers a printable schedule. The email ask is honest about the newsletter, and the guide arrives in the DM either way.

DM

Hey {first_name}, happy to send the feeding schedule. What's your email? I'll send it there too, plus my Sunday bake email (one a week, unsubscribe any time).

Follow up

Got it, thanks. Here's the schedule: {link} Print page 2 and stick it on the fridge.

More wording options are in the email capture templates.

Why am I not getting emails from my DMs?

  • People never saw the DM. Non-followers get private replies in Requests. Point them there in the public reply.
  • They did not reply. The ask was too long or too pushy. One line on what they get, one line asking for the email.
  • They replied after 24 hours. Meta's window after a person's message is 24 hours. If they come back later, they can comment the keyword again.
  • Addresses are mistyped. Some will be. Delivering the freebie in the DM means a typo does not cost them the thing, and your welcome email shows which addresses bounce.
  • Emails are not in your email tool. Check the sync is connected, or export a CSV.

What should happen after you collect the email?

  1. 1

    Welcome email within minutes

Resend the freebie, say who you are in two lines, and tell them how often you will write.

  2. 2

    Tag by source

Record the keyword or post that brought them, so you can send the people who wanted recipes more recipes.

  3. 3

One useful email in the first week

Something they did not get on Instagram. This is what keeps them subscribed.

  4. 4

    Then the offer

Once they have had value twice, a product email lands as a suggestion rather than a pitch.

Tips for a list that stays healthy

  • Send the welcome email within minutes, while they remember asking.
  • Tag subscribers by keyword, so you know which post or freebie brought them.
  • Do not ask for an email on every post. Use it for your best freebie, and send plain links elsewhere.
  • For the freebie itself, see how to deliver a lead magnet on Instagram.

Questions

Frequently asked questions

Yes. ReplyRep exports collected emails as a CSV, or syncs them to Klaviyo, Mailchimp, HubSpot or Google Sheets, so they land in the tool you already send email from, ready for your welcome email.

Collecting an address someone types to you is fine when you are clear about what they will receive. Email marketing laws where your subscribers live still apply, so say you will add them to your list, and include an unsubscribe link in every email.

Both. Send the link in the DM as soon as they reply with their email, and send it again in the welcome email. Nobody loses the freebie to a typo, and the welcome email confirms the address works.

No. In ReplyRep the Email Collector is on Lite and up, from $10 a month. The free plan sends keyword DMs with links but does not ask people for their email address.

It varies widely with the offer, the audience and the wording, so treat any single figure with caution. Measure your own: compare keyword comments with emails collected per post, and test one change at a time.
