Instagram webinar registration automation that fills the room

Instagram webinar registration automation sends the signup link by DM to everyone who comments a keyword like SEAT or WORKSHOP. ReplyRep replies about three seconds after the comment, can collect the email inside the chat, and sends a follow up to people who have not registered yet. Registrations come from the post itself, not from a bio link people have to find.

How does DM webinar registration work?

You post about the session: what it covers, when it runs, who it is for. The caption asks people to comment a keyword. Each comment fires a DM with the registration link, or asks for the email right there in the chat so the person is registered without opening a form.

This works for live webinars, free workshops, masterclasses, challenge kickoffs and in-person events with a signup page. Anything with a date and a seat.

Why register people through DMs?

  • The decision happens on the post. People decide to attend while they are watching your reel. A DM catches that moment.
  • Fewer form fields. If the email is collected in the chat, the signup is one message instead of a landing page and a form.
  • You can remind them. People register, then forget. A follow up in the same thread brings them back.
  • Questions get answered. "Will there be a replay?" lands in the DM, where you or the AI can reply.

How do you set it up?

  1. 1

    Create the event page

Your webinar tool's registration page, or a simple signup page. Tag the link with UTM parameters so you can see Instagram registrations.

  2. 2

    Choose the keyword

SEAT, WORKSHOP, CLASS or the topic itself. Make it a Global Trigger for the weeks before the event so every post, story and DM answers it.

  3. 3

    Write the DM

Date, time with time zone, one line on what they will leave with, and the link. If you collect the email in the chat, say what it will be used for.

  4. 4

    Turn on email capture

Collected emails export as CSV or sync to Klaviyo, Mailchimp, HubSpot or Google Sheets, so reminders can go out from your email tool too.

  5. 5

    Add a follow up

For people who got the link and did not register, a second message with the one reason to come.

  6. 6

Point stories at the same keyword

Story replies fire the same automation, so a countdown story that says "reply SEAT" feeds the same list.

What should the caption say?

Answer the three questions people have before they comment: what is it, when is it, is it free. Then the action: "Free workshop, Thursday 7pm GMT. Comment SEAT and I'll DM you the link." Repeat the keyword on screen in the reel and in a sticker on your story.

What does a full webinar campaign look like?

  1. Ten days out: an announcement reel with "Comment SEAT". The DM asks for the email and confirms the date and time zone.
  2. Seven days out: a carousel with the three things attendees will learn, same keyword, so it feeds the same list.
  3. Three days out: a story countdown sticker and "reply SEAT". Story replies fire the same automation.
  4. One day out: the follow up reaches people who got the link but did not register.
  5. On the day: your email or webinar tool sends the joining link to everyone registered.
  6. After: the DM on every post switches to the replay or the next date.

Keep one keyword across the whole run. Followers who see three posts about the same session should not have to remember three words.

What metrics matter?

  • Registrations from Instagram, via the UTM-tagged link or the emails collected in chat.
  • Show-up rate for DM registrants against other sources.
  • Follow-up registrations, the people who signed up after the second message.
  • Sales from the session, which is what the webinar is for.

Mistakes to avoid

  • Leaving out the time zone. People will turn up an hour late.
  • Sending the registration link to people commenting after the event. Switch the DM to the replay or the next date.
  • Asking for an email and never sending the joining link to it.
  • A follow up that just repeats the first DM. Give a new reason to come.

The same mechanics power any Instagram DM sales funnel: a comment, a conversation, then the offer.

Questions

Frequently asked questions

Yes, if your webinar tool accepts registrations by email import or integration. ReplyRep collects the email in the DM and can sync it to Klaviyo, Mailchimp, HubSpot or Google Sheets, from where you can add it to the event.

Use a follow up in the DM for people who have not clicked, and send reminders from your email or webinar tool to those who registered. Follow ups have to be sent inside the messaging window Meta allows.

One word that matches the event: SEAT, WORKSHOP, CLASS, or the topic. Avoid generic words like YES that people type for other reasons, and use the same keyword on every post that promotes the session.

Change it to the replay link or the next date. Posts keep collecting comments for weeks, and a DM that says the session is tomorrow when it was last month loses trust.
